This policy explains what information Simply Works Marketing ("SWM", "we") collects, how we use it, and the choices you have. It covers this website, our client portal, and the messages we exchange with restaurants and creators.
What we collect
- When you contact us or book a call: your name, email, phone number, restaurant name and anything you write to us.
- Client portal accounts: your login email, your restaurant's details and the details of your creator campaigns.
- Creators: public Instagram profile information (such as your handle, follower count and public posts) and the messages we exchange to arrange a visit, such as the visit date, time and party size.
- Website visits: we do not use analytics or advertising trackers on this website. Our hosting provider, Cloudflare, handles basic technical data such as your IP address and browser type to serve and protect the site, and our pages load fonts from Google Fonts.
- Restaurants that connect Instagram: see Restaurants that connect Instagram below.
How we use it
- To answer you and run the services you ask for.
- To find creators who fit a restaurant, arrange visits and track posts.
- To show restaurant clients their creators, visits and posts in the portal.
- To keep our service safe and working well.
Who we share it with
We do not sell personal information. We share it only when we need to:
- with the restaurant a creator visits, so they can host the visit (for example the creator's handle, visit time and party size);
- with companies that help us run our service, such as hosting, database, email, scheduling and security providers, and AI providers that help us read and write messages, who may use it only to provide that help;
- when the law requires it.
How long we keep it
We keep creator profiles and records of outreach and visits with no fixed end date, because past visits decide who we invite next. Message text has a shorter limit, set out below. You can ask us to delete your information at any time; here is how and what that covers.
Your choices
You can ask us to show, correct or delete the information we hold about you. Creators can ask us to stop contacting them at any time. Email info@simplyworks.marketing.
Children
Our services are not for children under 13, and we do not knowingly collect their information.
Creators we invite (SWM Creator Ops)
This policy explains how Simply Works Marketing ("SWM", "we") handles information in SWM Creator Ops, our internal tool for inviting creators to partner restaurants and scheduling their visits.
What we collect
- Public creator information: the public Instagram profile details of creators we may invite, such as username, public posts, follower count, general area, and a business email address the creator lists publicly.
- Messages: the messages exchanged with a creator about an invitation, by Instagram direct message or email.
- Visit details: the agreed date, time and party size, and the creator's handle and a contact phone number if they give one for the booking.
We do not store the text of allergy or dietary information that creators share. We only record that a check was done.
Google user data
SWM Creator Ops connects to one Gmail account, SWM's own mailbox (team03swm@gmail.com), with the Gmail permissions to send email and to read and label messages. It uses this access only to send invitations and follow-ups, and to read and answer the replies in email threads it started itself. It does not read, use or keep other mail in the mailbox.
SWM Creator Ops' use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and we do not use it to train general artificial-intelligence models. People do not read it except to handle a conversation or where the law requires.
How we use information
We use it only to invite creators to partner restaurants, arrange and confirm visits, send reminders, and hand special cases to a member of our team. We share visit details only with the restaurant being visited and the SWM staff handling the visit.
How long we keep it
Message text is stored encrypted and deleted within 180 days of the message. We keep records of outreach and completed visits with no fixed end date. Phone numbers and reservation names given to book a visit are stored encrypted until the person asks us to delete them. Other contact details are stored encrypted and erased within 30 days.
Your choices
Reply "stop" to any email and we will not email you again; reply STOP to any text and we will not text you again. To have your information deleted or to ask what we hold, write to info@simplyworks.marketing.
Security
Access tokens and contact details are stored encrypted and are not sold or shared for anyone else's use.
Restaurants that connect Instagram
A restaurant can choose to connect its Instagram professional account to SWM through Meta's Facebook Login for Business. A person with authority over the account gives this permission on Meta's own screen, and can take it back at any time. We use the connection for one job: finding and accepting Collab invitations from creators booked to visit that restaurant, so their Reel appears on the restaurant's profile.
What we read
- The account's Instagram ID and username, and the Facebook Page and business it is linked to, to confirm we connected the right account.
- The list of Collab invitations waiting for the account. Each one shows the post's ID and the username of the creator who sent it. Meta also includes the caption and a link to the video. We don't keep those.
- A creator's public posts, through Meta's business discovery feature, to check that an invitation belongs to the exact post we expect.
What we do
- We accept a Collab invitation only when it comes from a creator booked for that restaurant, it is for the exact post we found for that visit, and it has passed our checks. The restaurant can turn this off and accept invitations by hand instead.
- This connection is not used to publish posts, send messages, comment, or change the account's settings.
How we protect and share it
The access token Meta gives us is stored encrypted and used only for this job. We do not sell this data, share it with anyone for their own use, use it for advertising, or use it to train artificial-intelligence models. We keep a short record that an invitation was checked or accepted, as part of that visit's record.
How to disconnect
Turn the connection off in the client portal, remove SWM Campaign Tracker from your Facebook Business Integrations or Meta Business settings, or email info@simplyworks.marketing. We delete the access token when you disconnect in the portal or ask us by email. If you remove access in Meta's settings, the token stops working and we delete it the next time we check. To have other data deleted, see how to delete your data.
Text messages (SMS)
We collect a mobile phone number only when a creator enters it on our creator sign-up page or their invitation page and ticks the consent box.
We use it only to send texts about the restaurant collaborations SWM arranges for them: confirming the number, booking details, visit reminders, post-visit thank-yous and posting reminders, an invitation to come back to the same restaurant, and replies to their texts.
We do not share or sell mobile phone numbers or SMS consent with third parties or affiliates for marketing or promotional purposes. The restaurants we work with do not receive the number for marketing.
Message frequency varies, usually a few texts per collaboration. Message and data rates may apply. Reply STOP to stop texts at any time, or HELP for help. You can also email info@simplyworks.marketing.
Changes
If we change this policy, we will post the new version here and update the date above.
